An elderly household in Chiang Mai with three decades of accumulated papers

Starting point

A household of two, both in their seventies, with documents from several decades stored in a mixture of filing trays, shoeboxes, and an old briefcase. Multiple land title certificates, several insurance policies from different periods, and a collection of bank correspondence that neither person could confidently interpret. Their son, living in Singapore, had been unable to visit and had no idea what the family held.

What we did

Four visits over six weeks. We sorted by document type, created a labelled binder system with tab dividers, and noted gaps in each category — documents that might need renewal or that the household had mentioned but could not locate. We produced a written summary and a simple index. The son attended the family briefing session via video call.

What changed

The son was able to confirm remotely what documents the household held and identify which needed to be followed up with the relevant offices. The couple reported feeling significantly less anxious about their records. The binder system was simple enough that they could maintain it themselves. The son has since referred two colleagues to Heritara.

An international couple preparing for a property transfer in Chiang Mai

Starting point

A couple — one Thai, one European — who owned property together in Chiang Mai and wanted to understand the documents involved before beginning a formal transfer process with a solicitor. They had read conflicting information online and were unsure which documents applied to their situation and which were irrelevant to them.

What we did

Three sessions focusing on the types of land title documents held in Chiang Mai, the general process by which property records are held and transferred, and the categories of document a solicitor would typically request. We provided printed notes and a glossary. We were clear throughout that we were providing general information, not guidance on their specific transfer.

What changed

When they met with a solicitor shortly afterward, they were able to follow the discussion, ask informed questions, and bring the correct documents to the first meeting. The solicitor noted they were unusually well-prepared. The couple later wrote to say the sessions had saved them several hours of back-and-forth with the legal office.

A newly relocated family organising a mixed Thai and international document set

Starting point

A family of four who had moved to Chiang Mai two years earlier and had documents from their previous country of residence mixed in with Thai paperwork. They were unsure what to keep, what to discard, and how to categorise a set of documents issued by foreign government bodies that they had never needed to look at closely before.

What we did

A single in-home visit of just over two hours. We sorted into Thai and non-Thai categories first, then by document type within each, and labelled each section in both English and Thai. We pointed out three documents that appeared to require renewal or verification and provided the relevant official contacts. A printed organizer with the completed labelling scheme was handed over at the end of the visit.

What changed

The family had a functional filing system within one afternoon. They followed up on two of the three flagged documents within a month. They described the visit as straightforward and said having someone explain what each document type typically is made a noticeable difference — they had not found a clear answer to that question anywhere online.
